What is email warm-up? Do I need it?+
A new inbox has no trust yet. Mail providers watch it closely. Warm-up builds that trust before you send real outreach. The inbox trades real-looking emails with other inboxes. They get opened and answered. This teaches Gmail and Outlook to trust it. Already have a warmed inbox? You can start today. A fresh inbox needs 2 to 4 weeks to reach full speed. OutboundOS raises the limit a little each day.
Why can't I send from my main company domain?+
Cold email can get a domain blocked. Your main domain is worth too much to risk. So we only send from lookalike domains (yourcompany-hq.com, getyourcompany.com). They point to your real site. If one gets flagged, you replace it for a few dollars. Your real domain never sends a cold email.
How many emails can I send per day?+
About 20 to 30 per inbox per day once warmed. Past that, mail providers start to filter you. To send more, do not push one inbox harder. Add more inboxes on more domains. Nine inboxes on three domains is about 270 a day. That is over 5,000 a month. Each inbox stays well under the limit.
Where do the leads come from?+
From Apollo, a licensed B2B database. You connect it with your own key (see below). It has about 275 million contacts with work emails. You describe your ideal customer in plain words. Cosmo turns that into filters you can edit. Industry, titles, regions, headcount, and yearly revenue. You get real named people with real addresses. Not scraped guesses. If we cannot verify an email, the lead is held.
Why do I connect my own Apollo key?+
So the data stays yours. Lookups cost Apollo credits. Each account has its own rate limit. On your key it is your credits, your limit, your terms. A shared key means a hidden cap. You wait behind other people. And someone else's terms cover your data. It takes about a minute to make. In Apollo, go to Settings, then Integrations, then API. We show each step inside the app.
How long does it take to build a list?+
About a minute for 100 leads. Each has a name, a verified email, and company details. Enriching a list you already have is faster. About half a second per lead. Both run on our servers. Close the tab, log out, come back later. The work is done. You do not need to sit and watch.
Can I upload a list I already have?+
Yes. Upload a CSV and we fill in the gaps. Each row gets a decision-maker and a verified email. Rows we cannot fix are dropped, not padded. Duplicates are merged with what you already have. The same person never lands in two sequences.
What do I need to get started?+
Two things. An inbox you own, and a plain description of your ideal customer. Connect the inbox with Google sign-in or an app password. A short survey builds your writing profile. The system finds and verifies leads. Your first sequence is ready to review in about ten minutes.
Does anything send without my approval?+
No. Every email is drafted first and waits for your OK. Approve a whole sequence in one click, or go day by day. Held follow-ups never send. If a lead replies, the other follow-ups stop.
What happens when someone replies?+
The reply comes in sorted: hot, warm, neutral, or declined. It gets a score and a next step. You answer the ones that matter. The system keeps stages, stops, and history in order.
